Set Default Printer Windows 11: Stop Windows Switching It

You print a boarding pass to the office printer once, and from then on everything at home goes to the wrong machine. Or every print job ends up as a PDF file instead of on paper. Both happen because of how Windows 11 chooses its default printer. This guide shows how to set a default printer in Windows 11 and make it stick, what the “Let Windows manage” switch actually does, and how apps decide which printer to use.

The steps apply to Windows 11 version 24H2, 25H2 and 26H2, on Home and Pro.

Set your default printer

Microsoft documents these steps for Windows 11:

  1. Select Start > Settings > Bluetooth & devices > Printers & scanners.
  2. Under Printer preferences, turn off Let Windows manage my default printer.
  3. In the list of printers, select the one you want as the default.
  4. Select Set as default.

The printer status under its name changes to Default. From now on, apps that follow the Windows default send jobs there until you change it.

Why Windows keeps changing your default printer

The switch Let Windows manage my default printer is on by default on many PCs. Microsoft explains that when it is on, Windows uses the last printer you used as the default. That is convenient if you always print to the printer you just used, and confusing if you print once to a different one.

Microsoft adds a detail for laptops and tablets: on mobile devices with this setting on, the default may switch to the last printer used at the new location when the device’s location changes. So the office printer can be the default at work and the home printer at home, without you touching anything. If that is what you want, leave the switch on. If you want one printer to stay the default everywhere, turn it off.

“Set as default” is missing

This is the most common question, and Microsoft’s answer is short: if the Set as default button does not appear, make sure Let Windows manage my default printer is turned off. The button only shows while Windows is not managing the default itself.

If the printer is not in the list at all, it is not installed. Select Add device next to Add a printer or scanner, wait for Windows to find it and select Add device again. If Windows cannot find it, our Windows 11 printer problems guide walks through network, USB and driver fixes.

Virtual printers: PDF, OneNote and fax

The Printers & scanners list also includes “printers” that create files instead of printing:

  • Microsoft Print to PDF saves anything as a PDF file. Setting it as the default is handy if you rarely print on paper.
  • OneNote printers send pages into a notebook.
  • Fax appears on some PCs.

If prints keep ending up as files, one of these is your default. Select your real printer and choose Set as default. You do not need to remove the virtual ones; you can still pick Microsoft Print to PDF in any app’s print dialog whenever you need a PDF.

How apps choose a printer

Most apps open their print dialog with the Windows default selected, but some remember their own choice:

  • Microsoft Office apps start with the Windows default, but a printer you pick in the print screen can stay selected while the app is open.
  • Web browsers often remember the last printer or destination you used, including Save as PDF. Check the Destination or Printer list in the browser’s print preview.
  • Specialist software such as label or photo printing tools may have their own printer setting in their options.

If one app keeps using the wrong printer while others are fine, the setting is inside that app, not in Windows.

Printer shows Offline or jobs get stuck

A default printer that shows Offline cannot print, and Windows may appear to “lose” it. Microsoft’s offline printer page suggests checking that the printer is on and connected to the same network, restarting the printer and PC, and running the automated printer troubleshooter. In current Windows 11 versions it runs in the Get Help app; search Start for Get Help and type “printer troubleshooter”.

If jobs sit in the queue, open the printer in Printers & scanners, select Open print queue and cancel the stuck documents, then try again. Restarting the printer and the PC clears most queues.

Shared and network printers

If you print to a printer shared from another PC or a network printer at work, it appears in the same list and can be the default like any other. If it disappears when you are away from that network, Windows may switch the default to another printer when Let Windows manage is on. With the switch off, the default stays, and jobs wait until you are back on that network.

For sharing files and printers on a home network, our checklist on network discovery explains the Private network setting, and map a network drive covers shared folders.

Quick checklist

  • Settings > Bluetooth & devices > Printers & scanners.
  • Turn off Let Windows manage my default printer if you want one fixed default.
  • Select the printer and choose Set as default.
  • Check the printer choice inside apps that remember their own.
  • Run the printer troubleshooter in Get Help if the default shows Offline.

Frequently asked questions

How do I set a default printer in Windows 11?

Open Settings > Bluetooth & devices > Printers & scanners, turn off Let Windows manage my default printer, select the printer and choose Set as default.

Why does Windows 11 keep changing my default printer?

Let Windows manage my default printer is on. Microsoft says this makes Windows use the last printer you used as the default, and on mobile devices it can switch to the last printer used at a new location.

Why is there no Set as default button?

Microsoft notes that the button only appears when Let Windows manage my default printer is off. Turn the switch off and the button appears on the printer's page.

Can I make Microsoft Print to PDF the default?

Yes. It is listed under Printers & scanners like any other printer. Select it and choose Set as default.

My printer is not in the list. What now?

Install it first. Select Add device on the Printers & scanners page, or see our printer problems guide if Windows cannot find it.
